Getting Started

This page provides guidance for the chair/mentor role in the IRB process. Please review the materials on this page to ensure that you are providing exceptional support for student researchers.

Here are general suggestions for supporting students in the IRB Process

  1. Plan ahead to consider the feasibility and risk level during the initial planning phase during the first dissertation course.
  2. Encourage students to visit the IRB website early and often and to attend IRB events
  3. Realize that studies can take longer to be approved if they are greater than minimal risk (GTMR); use resources from the Department of Defense (DoD), Veterans Affairs, military, hospitals, prisons, or a site with its own IRB; or involve recruiting or collecting data outside the United States. Advise students of this early in the process.
  4. Remind students never to change anything about an approved IRB protocol without first submitting a request to modify the study using the process described above. This includes adding additional sites.
  5. Remind students whose research involves human subjects to submit an IRB study closure form when data collection is completed and the data are de-identified and securely stored according to the procedures on the approved IRB application. In addition, we recommend that the committee check to see that the student has sufficient data prior to closing the study.
  6. Check that you have current CITI certification status.
  7. Email or attend open hours so we can support you.

How to Submit to the IRB

When a student completes their IRB application and submits for the first time, their IRB application will be sent directly to the chair/mentor. Once the application arrives on your IRBManager dashboard, you will need to verify two things:

  1. Confirm that you are the chair/mentor
  2. Confirm that the title of the study aligns with the researcher's study

No further action is required beyond these two items. Once you have confirmed these two items, you should submit the application to the IRB.

Please note that the application will only be submitted to you for the student's first submission. Once the student submits for the first time, any correspondence will be between the student and IRB/IRB reviewers. You will no longer be reviewing the application beyond the first submission.

To submit a student's IRB application, please follow the steps below: 

  1. Login to IRBManager
  2. Click on the "xForms" tab,
  3. Click on the "IRB Application" that you would like to submit,
  4. Verify that you are the Chair/Mentor,
  5. Verify that the title of the study aligns with the student's study, 
  6. Scroll to the bottom of the application,
  7. If the information is correct, select "Yes" for "Chair/Mentor Determination,"
  8. Import/upload your CITI training
  9. Click "Next," then "Submit"
